Dental receivables have a problem that most collection agencies are not built for. The balances are small, there are a lot of them, and the person who owes you money is someone you would like to see again in six months for a cleaning.

Hand that to a percentage-based agency and two things happen. The fee eats most of a small balance, and the patient never comes back. Do nothing and the balance ages until it is worthless. Neither is a plan.

Why the fixed fee matters more in dentistry than anywhere else

When you pay a percentage, the cost of recovering a balance scales with the balance. That math works against you in a practice where most of what is outstanding is a few hundred dollars at a time. It also means small balances are never worth placing, so they sit on the aging report until someone writes them off.

When you pay a fixed fee per account, the economics flip. A small balance costs the same to work as a large one, which makes it worth working at all. That is the difference between recovering the top of your aging report and recovering the whole thing.

The first phase does not feel like collections

The program starts with reminders that go out in your practice name, not an agency's. Five contacts over about thirty-five days. To the patient it reads as your front desk following up, which is more or less what it is, except your front desk is not the one doing it.

Only accounts that ignore that move to third-party demands, and only if you decide they should. Every escalation is your call.

What your front desk gets back

Time, mostly. Chasing past due balances is the least productive thing a dental office manager does and the thing they are least trained for. It is also uncomfortable, which means it gets postponed, which is how a thirty day balance becomes a hundred and twenty day balance.

Common questions

Will my patients know they are in collections?

Not during the first phase. Those contacts go out in your practice's name and payments come back directly to you. Third-party demands are a separate, later step that you authorize.

Is there a minimum balance worth placing?

Lower than you would guess, because the fee is per account rather than a percentage. That is the specific reason this works for dental when percentage agencies do not. Call and I will run the math against your actual aging report.

What does it cost if nothing is recovered?

The first two programs are fixed fee, so you pay per account placed whether or not it pays. The third, full contingency collections, charges only on what is recovered. Which one fits depends on how old your accounts are, and that is the conversation to have before you sign anything.
